Men’s Mission Australia — Link, Serve, Connect

Faith, safety & trust

YOUR INFORMATION MATTERS.

Plain-language information about the current draft website, email enquiries and the privacy decisions required before launch.

Private review draft — not final launch policy

This draft is for the current website only. Operator details, actual information-handling practices and legal review must be completed before public launch. It is not a certification of compliance.

Who is responsible

Men’s Mission Australia is the project name used on this website. Contact the project at support@mensmissionaustralia.org. The operator is Men’s Mission Australia. This does not imply incorporated or registered charity status.

What the website does today

This version displays information, a seven-day RESET 7 reading guide and Help a Mate articles, with links to email, telephone and external services. The public information pages do not collect journal responses or provide payment checkout, public comments or public story submissions. Sender signup forms collect email subscriptions; confirmation email delivery is currently being tested. The separately signed-in member service, when enabled, provides REBUILD accounts and saved journeys under its member privacy and service notice. Reading public reflection prompts does not submit your notes.

Selecting an email button opens your email application. Nothing is sent until you send the email. The public website’s hosting platform may process technical information under its own policies.

Email subscriptions

Our signup forms use Sender to collect your email address, optional first name and subscription choices. RESET 7 signup requests seven daily emails and one follow-up a week later; its optional checkbox requests ongoing Mission Updates. The separate Mission Updates form requests occasional mission news, encouragement and resources only. Confirm your email to complete signup. You can unsubscribe using the link in our emails or contact support@mensmissionaustralia.org.

Sender processes subscription records and email activity, including recorded opens and link clicks, to operate the mailing service and help us understand delivery and engagement. Embedded forms connect your browser to Sender, which may also process technical information. See Sender’s privacy policy for its practices.

Information you choose to send

An enquiry may include your email address, name, message, organisation and preferences for updates. Please send only what is necessary. You can make an initial enquiry using a first name or pseudonym, although responding requires a working contact address.

Do not send medical records, identity documents, payment-card details, journal entries, information identifying children, or private information about a partner or another person. Health information and religious beliefs can be sensitive. This inbox is not a clinical intake service or confidential counselling system.

Proposed use and sharing

The intended use of enquiry information is to answer you, manage the specific request you make and maintain necessary project records. A general enquiry is not permission to add you to unrelated marketing. If you ask for updates, you may withdraw that request by email at any time.

The proposed policy is not to sell personal information or publish messages, stories, photographs or names without separate, specific permission. Disclosure may be necessary to service providers supporting the enquiry, where law requires or authorises it, or where permitted to address a serious safety threat. Absolute confidentiality cannot be promised.

Hosting, email and overseas processing

The website is hosted through ChatGPT Sites; Microsoft hosts the mission’s email, and Sender handles mailing-list forms and subscription emails. These services may process information outside Australia. Their provider terms apply in addition to this notice. Hosting locations, relevant overseas recipients and countries, access permissions and provider arrangements have not yet been verified for the final public service and must be documented before launch.

The website now includes Sender’s form integration on signup pages. Subscription email activity may include open and click tracking; no separate advertising pixel has been added. This does not mean the hosting provider uses no cookies or technical logs. Those platform practices must be checked separately. External links take you to services with their own privacy practices.

Storage, security and retention

Enquiries sent to the contact address are handled through that email account. Account protections, authorised access, a retention schedule and a data-breach response process must be verified before adopting this policy. The intended approach is restricted access, multi-factor authentication, minimal collection and deletion or de-identification when records are no longer needed, subject to lawful retention obligations. No online service can guarantee complete security.

Access, correction and complaints

Email the project with the subject “Privacy request” to request access, correction or deletion of information you supplied, or to raise a complaint. Include enough detail to identify the enquiry, but do not attach identity documents unless a necessary, secure verification process has been agreed. Some records may need to be retained; any refusal should be explained.

The proposed response target is acknowledgment within seven business days and a substantive response within 30 days; staffing must be confirmed before that commitment is adopted. If a complaint remains unresolved, the Office of the Australian Information Commissioner explains available complaint pathways and eligibility.

Before features change

Payments, mailing-list software, accounts, journals, check-ins, uploads or analytics require a fresh privacy assessment, appropriate collection notices and a revised policy before activation. Browsing this website is not consent to future collection of sensitive information.

Drafting reference: OAIC — what a privacy policy should explain. Whether particular privacy obligations apply requires assessment of the actual operator and services, not an assumption based on project size.
